Employee Communications Policy

Dining Services areas are currently transitioning to using Microsoft Teams for employee messaging, calls, and collaboration. Review the documentation at https://dining.byu.edu/teams for more information.

Policy

1. Approved Communication Channels


Employees should use the following platforms for work-related communication:

  • Email (Microsoft Outlook): All email communication must occur through BYU-issued email accounts. See BYU IT Standards.
  • Microsoft Teams: All messaging and calls with student employees must occur through Microsoft Teams. Use of Teams is strongly encouraged for communication with all other employees. All group messaging should happen over teams. For expectations on personal mobile device use, see Cell Phones Policy.
  • Ringcentral: BYU utilizes Ringcentral as its campus phone system, and employees should utilize this system for calling where Teams is impractical.

To ensure compliance, accountability, and data security, the following platforms may not be used for work-related communications between employees:

  • GroupMe
  • WhatsApp
  • Facebook Messenger
  • Personal Phone Numbers (Specifically for communication with student employees.)
  • Non-BYU Supported Messaging Platforms

2. Using Microsoft Teams

BYU provides all employees (including student employees) with subscriptions to Microsoft Teams. All employees are expected to maintain notification settings that allow them to receive urgent calls or messages outside of business hours via Microsoft Teams.

a. "Chat" Tab (Includes Messaging, Calling, and Videocalling)

  • The Chat tab within Microsoft Teams allows employees to create individual or group messages and place individual or group audio/video calls directly within the platform.

b. "Teams" Tab (Includes Teams and Channels)

  • Each area has a dedicated Microsoft Team, automatically populated based on the Workday org chart as employees join and leave the area.
  • The "General" channel in each team is restricted to admin posts and is the designated location for official announcements.
  • Areas may utilize additional channels and apps within their team as needed to support collaboration and operational workflows.
