Time Reporting Policy

Policy

BYU Dining Services hourly employees report their time using the Workday application. Wages paid (and therefore time reported) represent sacred funds, and employees are required to report time honestly. Time theft is considered fraud and will be investigated and disciplined in accordance with university policy and applicable law.

Procedures

1. Checking In and Out
Hourly employees check in and out using the Workday application or, if they prefer, using a time clock in their work area. Employees should not check in for time spent changing in or out of a work uniform.

2. Submitting Time
Employees must submit their time using the Workday app in order to be paid. BYU recommends employees get in the habit of their submitting time weekly at the end of each week to ensure that they are paid.

3. Time Corrections
If an employee forgets to check in or out or needs to make other time corrections, they should make these changes themselves using the Workday app. Managers and other department employees do not have access to make time corrections on behalf of the employee.

4. Time Approvals
Managers are required to review employee time during the approval window each Monday.

a. Managers are responsible for comparing the actual time reported in Workday with the employee’s work schedule to ensure time is being reported accurately. Each manager in Dining should have access to the Employee Labor Audit Report which provides this information. For questions, managers should reach out to dininghelpdesk@byu.edu.

b. Managers cannot change employee time but can send it back to the employee with comments. Employees can then make any needed changes then send it back to their manager for approval.

c. If a manager will be unavailable to complete time approvals during the approval window, they are responsible for temporarily delegating this in Workday to another manager to ensure that their employees’ paychecks are not delayed.

d. Department managers are responsible for making sure all managers are given time to complete their time approvals in a timely manner during work hours on Mondays.
