Employee Hiring Policy

Policy

Dining Services job positions are divided into four categories to help with hiring and managing employees: full-time employees, part-time employees, student core employees, and student specialized employees. The sections below define these positions and explain how Dining Services and Human Resources handle recruiting and onboarding for each of these categories.

Full-Time Employees

Staff employees who work forty or more hours per week.

Hiring Process

  1. Position Authorization
    The manager receives approval to create or fill the position.
  2. Job Requisition Creation
    The manager creates the job requisition in Workday. During this step, the manager may also assign additional "primary recruiters" to help manage the hiring process. Once completed, the requisition is posted on Workday.
  3. Application Review and Candidate Selection
    The recruiter reviews submitted applications, interviews candidates, and selects a finalist to proceed with clearance checks.
  4. Job Offer and Acceptance
    An offer is extended to the selected candidate and accepted.
  5. Hire Initiation
    The hire is formally initiated in Workday.
  6. Onboarding Support
    The manager assists the new hire in completing required onboarding tasks in Workday. These must be completed before the employee can begin their own onboarding tasks.

Part-Time Employees

Staff employees encompassing both half time employees working seventeen hours per week and three-quarter time employees working twenty-eight hours per week.

Hiring Process

  1. Position Authorization
    The manager receives permission to create or fill the position.
  2. Job Requisition Creation
    The manager creates the job requisition in Workday. During this step, the manager may also assign additional "primary recruiters" to help manage the hiring process. Once completed, the requisition is posted on Workday.
  3. Submitting Applications
    Applicants apply using the link provided in the Workday job posting.
  4. Application Review and Candidate Selection
    The recruiter reviews submitted applications, interviews candidates, and selects a finalist to proceed with clearance checks.
  5. Job Offer and Acceptance
    An offer is extended to the selected candidate and accepted.
  6. Hire Initiation
    The hire is formally initiated in Workday.
  7. Onboarding Support
    The manager assists the new hire in completing required onboarding tasks in Workday. These must be completed before the employee can begin their own onboarding tasks.

Student Core Employees

Including food service workers and student leads.

    Area managers communicate staffing needs to their director by indicating open shifts on their master schedule in Workday Scheduling.
  2. Job Requisition Creation
    The manager creates the job requisition in Workday. Assistance is available from Carter if needed. During this step, the manager may also assign additional "primary recruiters" to help manage the hiring process. Once completed, the requisition is posted on Workday for staff applicants.
  3. Application Review and Candidate Selection
    The recruiter reviews submitted applications, interviews candidates, and selects a finalist.
  4. Job Offer and Acceptance
    An offer is extended to the selected candidate and accepted.

    The hire is formally initiated in Workday.
  6. Onboarding Support

Student Specialized Employees

Including student employees with technical, office support, and food science roles.

Authorization to Create or Fill Positions

Managers have increased access in Workday to initiate hires, but should only do so when the hire is authorized by the appropriate management.

Once authorized, new positions are created by the Dining Services HR Business Partner. The Dining Services HR Business Partner can also remove open positions that are no longer necessary.
