Parent Policy: Technology Use Policy
This article describes the process the Dining Technology Group follows to evaluate requests for new computers in Dining Services.
1. Summary
Computers are an important resource to help employees complete job functions. Dining is mindful of the need to balance making computers available with controlling expenses and employee time spent on computers. For this reason, the Dining Technology Group reviews work areas when requests for new computers are received. Each employee using a computer is assigned to an allocation group based on their job responsibilities for purposes of this review. Proposed allocations are reviewed with the area and approved by the Technology General Manager before being finalized.
2. Computer Allocation Process
- DTG employees review work areas when receiving requests for new computers prior to initiating purchase authorization approvals.
- After reviewing the work area, DTG creates an allocation proposal which specifies any changes in the number of computers or computer ownership/stewardship.
- DTG reviews the proposal with department management for their feedback before submitting the proposal.
- Proposed allocations are reviewed and signed off by Coleman Madsen before being finalized. Coleman consults with the division director before signing off on an allocation.
- Directors should contact Coleman Madsen if any concerns arise.
3. Allocation Group Specifications
The following table describes each allocation group, the types of employees included in each group, and the test used by DTG to determine how many computers to allocate.

Full-Time Administrative | Full-time employees whose jobs require constant access to a computer. |

Full-Time Operations | Full-time employees focused on operations, food production, or other non-computer functions. |
| 1 computer per 20 to 30 allocated computer hours. Typically 30, but reduced to 20 in situations where people sharing computers generally need access during the same time. One FTE user is designated as “Steward”. |
Part-Time Management | Part-time employees employed in functions that require constant access to a computer while at work. |
| 1 computer per 30 budgeted weekly labor hours. Supervising FTE is designated as “Steward”. |
Part-Time Operations | Part-time employees focused on operations that occasionally need computer access |

Weekly Budgeted Hours - The managing director approves weekly budgeted hours for all part-time management groups/positions in the Dining Administration division. Budgeted hours in the other divisions are approved by (1) the division director and (2) Coleman Madsen (Technology General Manager).
Allocated Computer Hours - DTG estimates the number of hours per week that "Full-Time Operations" employees spend on the computer in consultation with department management.
